Executive Coordinator & Special Projects Manager

Position Overview

We are in search of a dynamic, organized, and dedicated individual. This person will offer real-time, comprehensive support to the company owner, ensuring the smooth operation of both routine tasks and complex projects. This includes preparing reports and presentations, organizing client information, assisting with marketing plans, and scheduling.

Hours

4 days a week (5 hours per day). Average 20 hours per week.

Location

Downtown Asheville, NC.

Compensation

Budgeted for $25/hour (based on experience).

Detailed Job Description / Responsibilities

  • Collaborate with the CEO and play a crucial role in the conceptualization and successful implementation of marketing and management strategies.

  • Coordinate the creation, organization, and dissemination of marketing plans, project recaps, marketing summaries, other reports using Google Slides and Miro.

  • Assist with the creation of compelling presentations.

  • Assist with special projects and tasks as directed.

  • Ensure that the CEO is aware of meetings and calls ensuring timely attendance to all commitments.

  • Manage expenses and client invoices (tracking/managing expenses, preparing expense reports and reconciling credit card statements).

  • Handle and safeguard confidential and proprietary information.

  • Maintain spreadsheets, contacts, and other organizational documents.

  • Serve as a point of contact for internal and external stakeholders, ensuring effective and timely communication.

  • Seek new ways to optimize, streamline, or automate tasks within the CEO’s daily schedule.

  • Occasionally assist with personal tasks, such as gifting or note-writing.

Required Competencies/Skills

  • Ability to handle fast-paced deadlines and manage multiple tasks with varied deadlines.

  • Must be a self-starter able to keep projects moving forward even if the CEO is traveling.

  • 2-3+ years of experience in a coordinating or executive assistant role.

  • Background in marketing and media buying is a plus.

  • Exceptional verbal & written communication.

  • A proactive problem-solving mindset.

  • Mastery of Google Docs Suite, MS Office Suite and project management software.

  • Photoshop and graphic design skills are a plus.

  • Valid Driver’s License (some driving).

  • Background in the entertainment industry is helpful.

MARKETING Coordinator INTERNSHIP

Position Overview

We are offering a unique internship where you will develop marketing skills and gain experience with a unique agency that specializes in providing entertainment companies with strategic marketing and management. We are seeking interns who can devote 15-20 hours (2-3 Days). Some remote work is also possible.

We prefer individuals who can work 2-3 days midweek (Tuesday Wednesday or Thursday).

Detailed Internship Description / Responsibilities

  • Assist with the planning and project development of experiences.

  • Help design client marketing strategies.

  • Provide critical feedback to client campaigns across various channels, including digital, outdoor, and social media.

  • Monitor and analyze campaign performance metrics to measure effectiveness and make data-driven decisions

  • Showcase your creativity and keen eye for detail by collaborating on client materials and content.

  • Use Google Suite and other platforms to produce documents, reports, and presentations

  • Gather information & photos and write compelling copywriting for websites, emails and presentations.

  • Distribute and following up materials to stakeholders.

  • Organize information and do Internet research.

  • General office and marketing support.

  • Maintain spreadsheets, contacts, and other organizational documents.

Required Competencies/Skills

  • MAC computer experience.

  • A plus if you have experience with CRM’s, email software, ticketing platforms, and use of social media platforms for business purposes.

  • Interest in art and events.

  • Background in marketing and media buying is a plus.

  • Experience with Google Docs Suite, and project management software.

  • Photoshop, Canva and graphic design skills are a plus.
